Procurement & Contract Executive (National Position)

Responsibilities

Procurement Management

  • Conducting research to ascertain the best products and suppliers in terms of best value, delivery schedules and quality
  • Processing Purchase Requisitions, issuance of Purchase Order and expedite Orders (internal approval, supplier acknowledgement, delivery tracking).
  • Liaising between suppliers, contractors, relevant internal departments and vendors
  • Identifying potential suppliers and building and maintaining good relationships with them. Ability to cultivate vendor and supplier relations required.
  • Assist in bidding process
  • Evaluating bids and making recommendations based on commercial and technical factors
  • Producing periodic reports and statistics
  • Manages RFx process and negotiates PO terms, conditions, pricing, including analyzing commercial aspects of supplier proposals.

 

Contract Administration

  • Identify the basic requirements of contracts and contract amendments
  • Administer Contracts from the start to post-closure
  • Work with internal business groups to determine need for and scope of potential contracts
  • Monitor competitive terms. Monitor customer satisfaction with our terms and conditions and contracting practices. Recommend changes.
  • Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation.
  • Handle on-going issue and change management
  • Monitor transaction compliance (milestones, deliverables, invoicing etc.)
  • Oversee Service Level Agreement Compliance
  • Ensuring that obligations to third parties are met in accordance with contractual agreements
  • Monitoring performance of contracts against performance indicators to ensure all obligations under agreements are being met
  • Managing contract variations in accordance with contract provisions and organizational policy and procedures
  • Ensure contract close-out, extension or renewal
  • Maintain database and/or central repository of all contracts and Purchase Orders
  • Respond appropriately to the needs and desires of internal and external stakeholder.

 

Travel Management

  • Assist on end to end travel management for liaising between AFI’s appointed travel agencies and internal stakeholders
  • Establish relationship with Service provider including but not limited to Travel Agencies, Airlines and Hotels.
  • Assist on compliance in all aspects of travel policy and procedures, identifying and reporting cases of violation / non- compliance
  • Assist on building high quality travel management reports and dashboard

 

Desired Skills & Experience

Prefered Technical Qualifications

  • Minimum 3 years of experience in procurement management and/or administering contracts. A combination of both is highly desired.
  • Knowledge and experience of Microsoft packages, including Outlook, PowerPoint, Word, and Excel required. Knowledge in Microsoft Dynamics is a plus.
  • Good command of English and Bahasa language – French, Spanish or Russian would be an asset but not required
  • Experienced working with procurement/contract related software is a plus
  • Good level of education, ideally to degree level or equivalent
